TITLE: GARAGE RECORD CLERK

 

ORGANIZATION UNIT: BUSINESS AND CORPORATE SERVICES - FLEET SERVICES APPLICABLE TO: ALL DIVISIONS

 

DUTIES:

 

Under indirect and intermittent supervision, to perform office operations involving varying degrees of complexity and difficulty, which may require the use of independent judgment in keeping Fleet Services records; collect and compile data for various office reports, and to perform other related work as assigned. In this connection to perform details of work, such as:

 

Prepare mileage and usage records; prepare unit life replacement records.

 

Reconcile Fleet credit card accounts, enter appropriate credit card transactions into the Fleet database; maintain summary of active Fleet credit card accounts.

 

File catalogues, purchases records, emergency orders, letters, equipment records, and vehicle inspection reports.

 

Post and communicate warranty and recall notices.

 

Coordinate and maintain archival of Fleet records.

 

Collect and compile required safety data; run and distribute reports. Process vehicle assignments and status change requests. SPECIAL RESPONSIBILITIES:

 

For care in use of office equipment.

 

For holding as confidential information obtained in connection with department work and relating to Company's business.

 

CONTACTS:

 

With employees of parts supply houses by telephone; salesmen, deliverymen and others calling at Fleet office; with users of automotive equipment; Fleet garage employees, supervisors, and superintendents on matters of operation records.

 

QUALIFICATIONS:

 

Graduation from High School or the equivalent. Must be able to pass the Data Entry Test.
